Kickoff Run Sheet

Open (2 min)

Thanks for making time. Here's the shape of the next few weeks: we get your products across, set up the registers, test everything with your team, and go live around a date we'll agree today. Shopify funds this launch, so my job is to make it fast and painless for you. I'll be filling in our project sheet as we talk.

Merchant and setup (8 min)

Confirm contacts, store URL if one exists, then the shape of the shop: locations, registers, roughly how many products, barcodes in use or not, whether customer records and gift card balances need to come across, and whether their prices include GST. If they replied to the booking email with their data files already, tell them, it always lands well.

Hardware (8 min)

What's on the counter today? Receipt printer, cash drawer, scanner, label printer, makes and models. Fill the existing column as they talk. Then wants: anything they'd add or replace. Mention the terminal is free with the annual plan. Anything they keep gets checked against Shopify's compatibility list after the call, anything they want lands on an order list in the follow up with prices.

Gates (5 min)

Walk the checklist plainly: store status, BYOP, the annual plan, terminal order. For Ross merchants most arrive ticked, confirm dates. For new merchants: the annual plan is the key that starts everything, it triggers the Shopify funding and unlocks the terminal order, so it's the first thing after this call. Terminal order within 48 hours because delivery takes about a week and we don't want hardware deciding the go live date.

Timeline (5 min)

Show the calculated dates. Data files by day three, migration done around day ten, testing day twelve, go live day fourteen. Ask about hard dates and blackout days, closed Mondays, staff away. Set the expectation once, kindly: the dates hold as long as the handful of things on their side land on time, and the tracker we share will always show exactly where things stand.

Setting you up right (7 min)

The five questions, asked as care not sales: training beyond the walkthrough, online selling and where, shipping and anything like Starshipit, loyalty program past or present, printing barcode labels in store. Yes or no plus a note each. Nothing gets pitched today.

Out of scope (3 min)

Anything raised that sits outside the launch, historical orders, bundle products, label printer setup, gets named now and written down: that's a separate piece we can quote after go live. Naming it here is what keeps the launch fast.

Close (2 min)

Recap the three things on their side: data export using the steps we send, the plan and BYOP if outstanding, terminal order the moment the plan is active. Everything else lands in the follow up email within the hour, including their tracker link. Then submit the form and send the outputs while the call is still warm.
